What is a "Workspace"?
A workspace is set of Free and Paid members who contribute to and/or have access to the video meeting content created by those members in Grain. Existing members can invite new members by email, link or allow for new members to join the same workspace if they authenticate with an approved domain email. (e.g. xxxx@example.com). Workspace defaults and membership can be managed by the workspace "owner" (the member who initially created the workspace) and other existing members.
Who are "Members" in my workspace?
Workspace members are individuals, most often from your same organization, who have created a Grain account linked with other individuals in your organization. Members may be invited explicitly via email or implicitly via invite link or "join by domain" access (e.g. they authenticated their account through an email with the same domain as the original workspace creator). Implicit membership channels may be changed within "Workspace Settings" > "General".
What are the differences between a Free seats and Paid seats?
Free seats (or Basic seats) always have the ability to view and collaborate on content, regardless of whether their workspace is on the Basic, Starter, Business or Enterprise plan. Free seats also have the ability to add a small number of their own new recordings in the workspace until they run out of this allocation.
Paid seats have the ability to add unlimited new recordings to the workspace and can perform advanced creative actions like downloading transcripts or making new Collections (folders) or Stories (highlight reels), among other things.
When at least one member of a workspace is upgraded to a Paid seat, all members of the workspace may view and collaborate on all of those members recordings. When a free member runs out of their trial recording allocation, they must delete old recordings for themselves or anyone in the workspace to gain access to the free user's meetings. Read more here.
Which team members do I pay for in my Grain workspace?
When upgrading, you only pay for the users who need a recording seat. When adding new members to the workspace, they will be on the Basic plan (which is free) by default unless you designate otherwise upon invitation. Free seat members may view content, collaborate on existing recordings and add up to 20 recordings of their own to try it out. To upgrade an individual user, navigate to Workspace Settings > Members and choose the "more" option to the right of the user's name and click the "Upgrade Member" option.
Can I have a mix of Free and Paid seats in my workspace?
Yes, you can have up to 20 free seats (or Basic seats) after upgrading at least one member to the Starter plan. Enterprise plans require a minimum number of paid seats but include an unlimited number of free seat (or Basic seat) members.
When will I get billed for my workspace?
The date a workspace first subscribes to a Business or Enterprise plan establishes the go-forward date at which recurring charges will be processes. If you add upgrade a new member to a paid seat, their pro-rated charges will be processed immediately (based on # of days remaining in the billing period) and their full seat cost will be added to the next billing cycle. When downgrading or de-activating existing users, their charges will be removed at the beginning of the next billing window.
Can I get a refund if I remove members from my workspace or cancel my plan?
For member accounts or workspaces that are downgraded or cancelled during an active billing window, we'll apply a pro-rated credit onto your workspace account to be automatically be applied towards any future charges in your workspace.
Can I cancel my subscription and switch to a new plan anytime?
Yes! You are free to cancel at the end of your contract period and may choose to pay on a monthly or annual basis. Any changes to plans or upgraded/downgraded members will take effect at the beginning of the next billing period.
How are my meetings shared with others in my workspace?
By default all recordings created by members of the workspace are added to the shared library of content. These sharing defaults can be changed either at the workspace or the individual member level and access controls for every individual meeting can be managed by other members who already have access.
Can I allow for others outside of my workspace to view or edit my meetings?
Yes, every meeting can be explicitly to be shared with anyone outside of the workspace through invitation or sharing the meeting URL. Grain will not send links to the recording to anyone outside of your workspace (unless you explicitly set up an integration that shares links in specific destinations of your choice). By default, meetings are set to "Anyone with the link" access. Link access defaults may be changed within "Workspace Settings" > "General" or at the individual member's account level under their sharing settings.
Does Grain provide support for Zoom, Meet and Teams?
Yes, Grain provides support for all 3 major video conferencing platforms. You can always reach out to support@grain.com to request an additional platform.
Does Grain provide calendar support for both Google Workspace and Microsoft O365?
Yes, Grain works the same regardless of which calendar you connect. Once a calendar is connected, you can set up automatic recording rules for all meetings or just internal or external meetings depending on your preference.
Is Grain secure?
Yes, Grain is SOC 2 Type I certified and will soon gain Type II certification. Grain hosts all it's software on Amazon Web Services (AWS) facilities in the USA and 100 percent of all Grain's primary applications are located within our own virtual private cloud (VPC). Grain conducts annual penetration testing by trusted third-party (NCC Group and/or Cobalt) and maintains an A+ grade for Qualys/SSL labs for our data security. Lasty, all user authentication is through Google or MSFT based SSO and for our Enterprise clients we offer SAML-based SSO for additional protection.
